CLIENT'S PROFILE:
We are a top manufacturing partner of technological companies with a presence all over the world for the manufacturing of rotation-lathed parts and assembly units based on these parts. Mesa Parts, with plants in Lenzkirch (Germany) and Nachod (Czech Republic), develops and produces bespoke Rotation-lathed parts according to the most stringent requirements. We rely on complex solutions, long-term development, flexibility and continuous improvements.

Current situation:
Paper and electronic registration of software licenses were recorded in the form of several MS Excel sheets. The disadvantages were incompleteness and a rather high level of variability, time demands and unreliability.

Course of implementation:
Implementation as such was divided into three separate project stages. The first stage was the most demanding part of the entire project. It focused on the collection and manual stock-take of all evidence available, that is, primarily invoices and software licences. Also, the very significant compilation of internal rules for the legal treatment of the software used formed a considerable part of implementation. Due to specific reasons, however, this section culminated in the manual creation of orientation reports on the software installed on each client PC (in AuditPro, such reports are called specification sheets). The result, despite being an orientation summary of software installed, was complemented by an evidentiary and absolutely precise list of software licenses supported by the newly-declared internal policies on the legal use of software. This innovative approach and these specific and material results contributed significantly towards convincing management and initiating stage two, which was the implementation of AuditPro 4.6.

The decision to deploy AuditPro was contributed to by a rather extensive investigation into competing products, which lack in certain important capabilities in contrast to the aforementioned tool. The main key arguments behind the selection of AuditPro are its modularity and complex nature combining to result in simplicity emphasised by the preciseness and flexibility of the results provided. Choosing from several data collection methods available, the asset module is very significant to us and the very clear visual forms are worth mentioning.

Installation was performed without any major problem in two days, which made us very happy. Manual addition of the documents collected for software licences followed and constituted an additional, approximately, two weeks of work. Our reward was a comprehensive and very qualified overview of all software installed. The last stage of the project was the asset module implementation. By adding this we acquired a long-awaited asset registration overview that is, very significantly, connected to the existing data of audited equipment.

Personally, I consider the functionality extended by the asset stock-take component to be the added value for the entire system. This is an integrated stock-take using barcode functionality. This property allowed us to achieve the physical stock-take process more precisely and reduce the time taken from days to hours.

With respect to all qualities of the application, I dare say that at the moment we are able to perform the entire complex IT asset management process by means of a single modular tool while no other links are necessary.

What has changed:
Not only has the entire IT asset management process become faster and more efficient but the personnel capacity necessary for such management has also been reduced. The project also contributed significantly towards more public awareness about the need to use legal software amongst end users.

Conclusion - resumé:
The deployment of Software Asset Management is not only an AuditPro installation but a group of comprehensive system steps and measures that help towards a completely transparent and efficient software administration and IT asset management. AuditPro, as one of the best products in the market, undoubtedly contributes towards that.
